How to write a experience letter

By Shivam Bhandari · Reviewed 31 October 2026 · How we write

An experience letter (or experience certificate) is issued by an employer to confirm that someone worked for them, in what role and for how long. New employers and visa authorities often ask for it.

Keep it factual and positive. It's usually issued on company letterhead and signed by HR or a manager.

What to include

  • Company letterhead and date
  • Employee's full name and ID
  • Designation and department
  • Joining date and last working day
  • Brief responsibilities
  • Signature of an authorised person

Tips

  1. 1Check dates against HR records before issuing.
  2. 2Keep comments factual; avoid statements you can't support.
  3. 3Issue it promptly after the employee's last day.
  4. 4Keep a copy in the employee file.
